Overview: Fields, Materials, and Tools shared across your Organization

The Organization Catalog holds the Fields, Materials, and Tools that any Procedure in your Organization can use, so they are defined once instead of being re-invented for each Procedure. Every member can see and use Catalog entries; Organization Administrators and Leads curate them.

Browse the Catalog

  1. In the Navigation pane's Organization panel, select Catalog.
  2. Choose Fields, Materials, or Tools in the list header. Use Search to filter the list.

  • Fields are typed values any Procedure can take in or produce, such as Employee ID. See Define Procedure Fields.
  • Materials are the non-data things a Procedure's work consumes or produces, such as a printed handbook.
  • Tools are the equipment, software, and systems the work is performed with.

Add an entry to the Catalog

Entries arrive in the Catalog in two ways:

  • Promotion. A Field, Material, or Tool first defined for one Portfolio can be moved to the Catalog by changing its Scope to the Organization when you edit it, from a Procedure's Fields tab or its Materials & Tools panel. See Add Materials & Tools.
  • Directly. Press the Define a Catalog Field (or Material or Tool) button in the Catalog's list header.

Edit an entry

Select the entry to edit it on its Info tab. A Field has a Label, an Identifier, a Type, a Description, and Guidance shown while its value is captured. A change applies everywhere the entry is used.

See where an entry is used

The Usage tab lists the Procedures that use the entry, their Portfolio, and whether it is used by the whole Procedure or by a particular Step. It shows only the Procedures you can access. Press a row to open that Procedure.

Delete an entry

On the entry's Actions tab, press Delete… in the Disposal panel. A Catalog entry can't be deleted while any Procedure still uses it: remove it from those Procedures first, using the Usage tab to find them.
