SOP Savant is TaskTrain's AI assistant for writing a Procedure. It interviews you about the work, or reads an SOP you already have, and then composes a complete Procedure: Steps, Fields, Roles, Tools, and criteria. You review and revise it before anything is saved. SOP Savant requires a paid plan, and Portfolio Administrator or Lead access.
Start SOP Savant
- In the Navigation pane's Portfolios panel, select the Portfolio for the new Procedure.
- Press the arrow beside the Create button in the list pane header and choose Generate with AI…. On the free plan this option is unavailable, with the tooltip "AI generated Procedures require paid subscription".
The SOP Savant dialog walks through eight tabs: Document, Overview, Scope, Controls, Roles & Tools, Inputs, Outputs, and Generate. You can press any tab at any time to go back and change it.
1. Document: start from an existing SOP, or from scratch
- To start from an existing SOP, paste it into the box and press +, or press Add File Source and choose Upload File (.txt or .docx) or Import from Google Drive (Google Docs or .docx). Documents with numbered steps, headings, and named roles give the best results. Then press Analyze Documents.
- If your documents describe several procedures, choose the one to analyze and press Analyze Selected Procedure.
- Review the Extraction Summary and press Continue. SOP Savant fills in every later tab from your document and takes you to Scope.
- To start from scratch, press Skip — Enter Manually.
2. Overview: describe the work
Describe the Procedure in Procedure Description: what it does, why, who does it, and when. Press Analyze Scope.
3. Scope: confirm what it covers
Check the Procedure Name, Objective, and Estimated Duration. List anything Out of Scope, and any Related Procedures. A Related Procedure you pick from the list is related to the new one as See also once it is created (see Relate Procedures).
4. Controls: when, where, and how it is carried out
Press Analyze Controls to propose Trigger Conditions, Location Restrictions, and Exit Criteria, then edit the lists. Trigger Conditions are written into the Procedure's description; to start Assignments automatically, set up Triggers afterward.
5. Roles & Tools: who does the work, and with what
Press Analyze Roles & Tools. Each Role has a name, a RACI part (Responsible, Accountable, Consulted, or Informed), Qualifications, and Required Permissions. Edit the Tools list.
6–7. Inputs and Outputs: the values it takes in and produces
Press Analyze Inputs and Analyze Outputs to propose the Procedure's Fields. Choose each Field's type and whether it is Required.
Each time you press an Analyze button, its proposals replace that tab's list. Analyze again after you change an earlier tab.
Reuse what your Organization already has
When a Field or Tool matches one in your Organization Catalog, SOP Savant says so, such as "Your Organization Catalog already defines Employee ID". Press Use it to use the Catalog's entry instead of creating a new one, so its values report alongside every other Procedure that uses it. Changed your mind? Press Add as a new Field instead (or Tool).
8. Generate, revise, and create
- On the Generate tab, press Generate Procedure.
- Read the result. Edit it in place, or type Revision Instructions, such as "Add a Step to back up the old laptop", and press Revise. Regenerate discards the result and starts over from your answers.
- Press Create Procedure.
TaskTrain creates the Procedure in the Portfolio and opens its Steps tab. It includes:
- the Steps, with Approval Steps and Default Assignee Roles where the work calls for them,
- the Objective, Estimated Duration, and Exit Criteria,
- the Input and Output Fields,
- the Roles, each matched to one of your Organization's Positions where one fits (check them on the Procedure's Roles tab),
- the Tools, and
- a description summarizing the controls, scope, and related Procedures.
Review the new Procedure before you publish it.
