A Trigger is a condition under which an Assignment of a Procedure is started. Triggers are set up on the Procedure's Triggers tab. Portfolio Administrators and Leads may create and change Triggers; Portfolio Associates may view them. A Procedure's Triggers are active only while the Procedure is Published.
Kinds of Triggers
- Manual: a situation a member recognizes and acts on, such as "A candidate accepts a job offer". A Manual Trigger documents when to start the Procedure; TaskTrain never starts it on its own. See Describe When to Start a Procedure.
- Scheduled: TaskTrain starts an Assignment on a recurring schedule, such as every Monday or on the first of each month. See Schedule Assignments.
- Hand-off: TaskTrain starts an Assignment when an Assignment of a Procedure that precedes this one completes, and can carry values it captured into the new Assignment. See Hand Off to the Following Procedure.
- Email and Link: members of the Portfolio can start an Assignment on demand by e-mailing the Procedure's address or opening its web link, such as from a QR code posted where the work happens. See Start Assignments by Email or Link.
Scheduled and Hand-off Triggers start Assignments on their own authority, so a Trigger keeps working when the member who created it changes Positions or leaves. If a Scheduled Trigger keeps failing to start Assignments, it stops and shows Stopped, and Portfolio Administrators are e-mailed; republishing the Procedure starts it again. If a required Role on a Trigger is unstaffed, it shows Needs staffing. Hover over the label to see why.
Who gets the Assignment
When you set up a Scheduled or Hand-off Trigger, the dialog shows where its Assignments will go, such as "Assignments go to: Position: HR Generalist (currently Bobbe Thomas)". If you name no Assignee, the Procedure's Default Assignee is used; if that can't be resolved to a member, the Assignment goes to a Portfolio Administrator.
