When one Procedure's work leads straight into another's, a Hand-off Trigger starts the following Procedure automatically as soon as an Assignment of the preceding one completes. It can carry the values the completed Assignment captured into the new Assignment's Inputs, so they aren't entered twice. Portfolio Administrators and Leads may create Hand-off Triggers.
Before you start: relate the two Procedures
A Hand-off Trigger needs a Precedes relationship between the Procedures. On the preceding Procedure's Info tab, add the following Procedure in the Related Procedures panel, choosing Precedes. See Relate Procedures.
Create a Hand-off Trigger
- Open the Trigger dialog in either of two ways:
- On the preceding Procedure's Info tab, open the relationship's menu in Related Procedures and choose Start Automatically….
- Or, on the following Procedure's Triggers tab, press the create button in the Hand-off panel, and pick the Procedure this one follows.
- Fill in Assignment Details: the Name, and optionally the Assignee, Priority, Requestor, and Description. "Assignments go to:" shows who will get the new Assignments; see Schedule Assignments for how each field works.
- In Carried Values, choose which value of the completed Assignment fills each Input of the new one. A carried value replaces the Input's own value whenever the completed Assignment captured one. Inputs with no matching value say so, such as "No Output of "Post-interview hiring process" holds a value this Input accepts".
- Fill in any other Inputs, and staff the Staff Roles, as for a Scheduled Trigger.
- Press Save.
The following Procedure's Hand-off panel lists each Trigger's Assignment Name and the Procedure it is Preceded by.
On the Assignment
- An Assignment started by a hand-off shows "Started from" and a link to the completed Assignment, in the Progress panel of its Info tab.
- A completed Assignment lists the Procedures that follow it under Next. Where one was started, it links to the new Assignment. Where none was, press Start "Procedure" to assign it yourself, starting from the values the completed Assignment captured.
- If a Hand-off Trigger couldn't start the next Assignment, Next says "Not started by its Hand-off Trigger", and a "Hand-off Failed" entry in the completed Assignment's Comments explains why.
