Move or Copy a Procedure

Step-by-step instructions: Move or copy Procedures within and between Portfolios and Organizations

Move a Procedure to organize your Portfolios, or copy one to base a new Procedure on one you've already written.

  1. Select the Procedure and press the Actions tab in the detail pane.
  2. In the Copies panel, press Move/Copy….

  3. In the Move/Copy Procedure dialog, choose the destination:
    • Choose another Organization if the Portfolio is in a different one.
    • Type in the search box to find a Portfolio by name, then press it. To make a new Portfolio, press the create button at the bottom left.
  4. Press Move or Copy.

You can also choose Move/Copy from a Procedure's menu in the list, or drag the Procedure onto a Portfolio in the Navigation pane's Portfolios panel to move it. Hold Ctrl, Shift, or Alt (Command, Shift, or Option on a Mac) while you drop it to copy it instead.

Who can move or copy

  • Move: Portfolio Administrator or Lead access on both the source and the destination Portfolio.
  • Copy: Portfolio Administrator or Lead access on the destination Portfolio.

What happens

  • The moved or copied Procedure is a Draft. Publish it before assigning it.
  • Copying within the same Portfolio makes a duplicate named "… Copy". It shares the original's Resources rather than duplicating them.
  • Copying to another Portfolio duplicates the Resources it uses, so later changes to the originals don't reach across Portfolios.
  • Assignments made from the original stay with the original when you copy.
  • Moving takes the Procedure's own Resources with it. Resources other Procedures in the source Portfolio also use are duplicated instead.
  • A Procedure with Assignments can't simply be moved to another Organization. TaskTrain asks whether to keep its Assignments, by archiving the original and copying it, or to delete them. Archiving keeps an auditable work history and is strongly recommended.

Lock a Procedure against copying

Press Lock in the Copies panel to protect a Procedure. A locked Procedure can't be moved, copied, printed, or exported. Press Unlock to allow it again. Portfolio Administrators and Leads may lock and unlock Draft and Published Procedures.
