Approve, Return, or Reject a Task

Step-by-step instructions: Sign off on, send back, or reject an Approval Task

A Task created from an Approval Step needs sign-off before it closes. Its Assignee submits the work, the Task waits at Pending Approval, and its Approver approves it, returns it for revision, or rejects it.

Submit a Task for approval

As the Assignee, finish the work and enter any Fields the Task captures, then choose Submit for Approval from the Completion Status control on the Task's Info tab. The Task moves to Pending Approval, and a notice names who it is waiting on, such as "Pending approval from Hiring Manager — Keith Gillette".

Changed your mind? Choose Recall Submission to withdraw it and return the Task to In Progress.

Approve, return, or reject

As the Approver, open the Task from your Assignments. On its Info tab, the Completion Status control shows four buttons: Pending Approval, Approve, Return for Revision, and Reject.

  • Approve accepts the work and closes the Task as complete. A comment is optional.
  • Return for Revision sends the Task back to In Progress so the Assignee can revise it. Explain the changes needed.
  • Reject closes the Task as not completed, with no rework expected. Explain why the work can't be reworked.

Each choice opens the Update Approval Status dialog. Enter your Comment and confirm; a comment is required to return or reject.

The Assignee is notified, and your comment is kept in the Task's approval record. A returned Task shows a "Returned for revision" notice with your comment until it is resubmitted; a rejected Task shows a "Rejected" notice with your reason.

Reopen a closed Task

An Approver can reopen an approved or rejected Task with Reopen for Revision. Enter a reason; the Task returns to In Progress and its Assignee is notified. On a parent Task, choose which sub-tasks to reopen.

Who can approve

  • The Approver set on the Step: the member staffing its Role on this Assignment, or its Position's member.
  • A Portfolio Administrator or Lead, who can act on any Approval Task. If no Approver can be found, the notice reads "Awaiting approval—No approver assigned; Admin/Lead can act".

If you are both the Assignee and the Approver, a "Self-approval—no separation of duties" warning appears.
