Define Procedure Roles

A Role is a named responsibility on a Procedure, such as Hiring Manager, that is staffed with a member each time the Procedure is assigned. Name the Role as the Default Assignee or Approver of Steps, and staffing the Role once assigns all of those Steps. Portfolio Administrators and Leads may define Roles.

Use a Role when the member doing the work changes from one Assignment to the next. When the member of one Position always does the work, name a Position instead.

Create a Role

  1. Navigate to the Procedure and press the Roles tab in the detail pane.
  2. Press the Add button in the Roles panel to open the Create Role dialog.

  3. Complete the dialog:

    • Name: the responsibility, such as Hiring Manager or Request Approver.
    • Description: optionally, what the Role does. It is shown to the member staffing the Role.
    • Default Position: optionally, the Position that usually fills the Role. Its member is filled in when the Procedure is assigned.
    • Required: turn on if the Role must be staffed. A required Role must be filled when the Procedure is assigned or a Trigger is created. An optional Role may be left empty, and its Steps then go to the Assignment's Assignee.
  4. Press Save.

To change or delete a Role, press its Actions menu on the Roles tab.
