Start Assignments by Email or Link

Step-by-step instructions: Start an Assignment by e-mail, web link, or QR code
Updated 1 day ago

Every Procedure has its own e-mail address and web link that members of its Portfolio can use to start an Assignment on demand. Each comes with a QR code you can print and put up where the work happens, such as on a piece of equipment or at a front desk. The Procedure must be Published.

Find the address and link

  1. Select the Procedure and press the Triggers tab in the detail pane.
  2. Scroll to the Email and Link panels. Press Copy to copy the address or link, or Download to save its QR code as an image.

Start an Assignment by e-mail

Send an e-mail to the Procedure's address, which looks like <Procedure ID>@Assign.TaskTrain.app. Scanning the Email QR code starts a new message to it.

  • The e-mail's subject becomes the Assignment's name (an e-mail with no subject is named for the Procedure), and its body becomes the Assignment's description. Attachments are ignored.
  • You become the Assignment's Requestor. It goes to the Procedure's Default Assignee, or to a Portfolio Administrator if there is none.
  • Send it from the e-mail address you sign in to TaskTrain with. You must be a member of the Procedure's Portfolio.

If TaskTrain can't create the Assignment, for example because the Procedure isn't Published, it e-mails you an "Assignment Failed" message with the reason.

Start an Assignment by link

Opening the link, or scanning the Link QR code, opens the Procedure's Actions tab in TaskTrain, where you can press Assign… to create an Assignment. Guests see Request… instead.
